Victoria bought a Service Bureau from someone else and thought she was set up for success.

She wasn’t.

Baldeep (00:00) All right, welcome to another episode of the Service Bureau Accelerator interview series. I am here with Victoria and Ross. Ross, if you want to go ahead and kick it off.

Ross (00:10) For sure. So Victoria, welcome to the call. How you doing?

Victoria (00:12) Thanks for having me.

Ross (00:14) Yeah, for sure. So Victoria, if you want to start really quick for our audience, maybe introduce yourself, share a little bit about your experience in the tax industry and how you ultimately ended up inside of our program and with the Service Bureau Accelerator.

Victoria (00:29) Okay, so this will actually be my 10th year in the industry. Started off as a preparer, leading into tax office owner, leading into building my own brand, starting a franchise. However, I wanted to, you know, of course, try to create multiple streams of income within the industry. I started, you know, with the Service Bureau, started that and didn’t know what I was really getting myself into. I just kind of started it. So I just kind of always went with that quote, whatever, just start. I didn’t want to perfect it. I just kind of started it. Within me starting it and actually being inside of it, there was a lot of holes in things. And I purchased the Service Bureau platform from somebody and I just couldn’t get a lot of answers from the questions that I had. I didn’t know what I was doing really. Like I was trying to thug it out and survive, but I was like, it’s just too many holes. Like I have too many questions. So.

Ross (01:45) Yeah.

Victoria (01:46) I saw you guys program I think from an ad or something like that. I actually saw the ad like two years prior before I actually signed up. And I was like, huh. And I just kind of looked at it. It just left a thought in my head. And then I saw it again. And I was like, then I clicked on it. And.

Ross (01:55) Mm-hmm.

Baldeep (02:03) And that unleashed the rest of it.

Ross (02:04) Yeah.

Victoria (02:07) Yeah, I clicked on it. And then I think I spoke with you, Ross, and I just kind of told you a lot of things that I was missing and got into the program, instantly figured out what I was doing wrong, and just here I am.

Ross (02:27) Cool, yeah, that’s an interesting story. We’re starting to get that more and more people in your scenario that were like coming from an existing Service Bureau. Like you had a Service Bureau before, but it’s just like you said, there’s just those like the gaps are there. You’re like, well, just putting the pieces together, there’s just all these gaps everywhere and just like, I don’t know where to find the answers to this. And that’s kind of the challenge with this industry as well is that you can’t just Google it.

Victoria (02:33) Yeah.

Victoria (02:40) Yeah.

Ross (02:52) You can’t run it through chat, GPT and get an answer. It doesn’t, the information doesn’t exist because it is such a small niche. So, you know, that’s where it’s glad we’re able to kind of close those gaps for you, fill those holes and, and get it dialed in. Cause I mean, you put some, put some solid numbers on the board this year. Like that was, that was huge coming in your first year and put a lot of volume on the, on the board. So that was awesome. And so joining the, joining the SBA. Like jumping into our program. What did you,

Victoria (02:52) Yeah.

Victoria (02:58) Yeah.

Victoria (03:10) Yeah.

Ross (03:20) If let’s I want to talk a little bit more about like those gaps that you had, was that kind of more on support side? Was that kind of on like acquiring customers, marketing, sales or a little bit of everything? Like where do you feel like that was for you?

Victoria (03:31) A little bit of everything. I think, for the most part it was on the marketing side. It was on the marketing side and then just the platform in general. Like the videos were so detailed, like go in at the office, like how to do this, like how to, you know, get like, of course, like I knew how to get another EFIN, but I had never saw anybody put that on a platform before. So it was like super detailed on things that may have been missing. You know, when sometimes like Service Bureaus, they’ll give you the platform and you have to figure it out your video. Were super super detailed on how to go in, how to do this, where this is, and I think that’s a lot of what I was missing.

Ross (04:22) Got it. Yeah, yeah, we, we don’t want people to have to try and figure it out. That’s the whole point. That’s the whole point of our, of our program. It’s like, you don’t need to figure it out anymore. It’s just, here you go. This is the, this is the steps, right? And then for, for your, for the actual Service Bureau, like as far as the business model, what have you, what have you kind of been doing to grow your Service Bureau? Like have you just been following kind of the standard framework of like selling software or have you gone more of the approach of like a

Victoria (04:27) Yeah.

Victoria (04:51) So beforehand, I think I was just more so like giving the software, but within the program, well, not giving it, but like, of course selling it. But that’s all I was offering was just software.

Ross (05:04) Don’t do that. Sell it.

Ross (05:13) Okay, yeah, yeah.

Victoria (05:13) And then when I got into the program, I’m like, wait, I can actually add stuff with it. Like, okay, well, let me create a package and add it. So I think that’s more so what’s helping me now is that when I’m like, cause I’ve had a couple of discovery calls this week is like just letting them know the other things that are within the package. And that is really what they’re interested in. They’re like, that comes with it. Well, that’s worth it.

Baldeep (05:20) Hahaha.

Victoria (05:43) It. Like I can get software from anywhere but I didn’t know I can get that too. So that was one of the main things that is actually helping me to sell. Like it’s a major selling point. Yeah.

Ross (05:45) Yeah.

Ross (05:57) Yeah, that’s awesome. That’s so good to hear because it doesn’t always settle in for most people like the first time around, right? They’re like, I’ll just kind of do a couple things. It’s like, no. One of the biggest challenges when you’re selling software is that if you’re only selling the tax software, the customer on the other end, they’re comparing apples to apples, right? Because realistically, all the softwares do the same thing. It’s like, OK, there’s a different layout, different interface.

Victoria (06:15) Yeah.

Victoria (06:19) Yeah.

Ross (06:25) You have no value proposition there. Now they’re just fee shopping, right? They’re just hunting for the lowest price and whatever. And that’s it. You have no value proposition to change the conversation. You’re having the exact same conversation as your competition with the exact same customer. And it’s just like, there’s, you don’t have any leverage there. And so when you do that, like you said, right now it’s like the conversation is shifting where the software is just one part of the puzzle, right? It’s just one piece of the offer.

Victoria (06:41) Yeah.

Victoria (06:50) Yeah.

Ross (06:53) And that’s what you want it when it’s just a line item in the package. They’re like, shit, like, well, for the same price, I could just just get this one line item or Victoria. I can get all of this other stuff. And this is really what I want because this is what’s going to help me grow, not tax software. Tax software’s really not doing anything. So have you, you’ve really, have you seen that shift as well? Like in those conversations where people are just.

Victoria (06:56) Yeah. Yeah.

Victoria (07:04) Yeah.

Victoria (07:09) Yeah.

Victoria (07:14) Yeah, because I’m like, and you also get in there like, yeah. So I like that part. It’s kind of like the party of the conversation. Yeah.

Ross (07:19) But wait, there’s more.

Baldeep (07:20) Yeah.

Ross (07:26) Yeah, nice. Awesome. That’s good to hear. So I’m just kind of curious on, on some revenue numbers. Like do you, you, if you’re open to it, kind of share a little bit of like maybe your growth as far as like where you are at prior to prior to joining kind of where you’re at today. Has there been like a massive change or was that first year jumping in kind of resetting the button almost with like learning being the Service Bureau.

Victoria (07:48) I think it was resetting the button, but I think I added maybe a couple offices within there. So I did see some growth, but I think this year I’m gonna see major growth. Cause I remember at the conference how you guys were talking about not going for the big fish, but starting with just the little people.

Ross (08:14) Just the bass hits.

Baldeep (08:15) The bass hits, bass hits.

Victoria (08:16) Yeah, like the basics and like, I feel like that’s what’s gonna work because those people are gonna grow every year, you know? So I’m adding a lot of those little fish. Yeah.

Ross (08:30) Nice.

Baldeep (08:30) Yeah, those add up relatively quickly, right? There are faster sales. For those of you guys watching or listening, the premise is we’ve seen a lot of people waste time trying to close these big clients and they spend all this time, energy and effort to do it. And then either they don’t close the client or they close it, but they underperform or the person lies or now they just spend all this time and haven’t really built anything in their business. Whereas when you focus on the base hits, 25, 50, 100 products, all these smaller offices, those are quick to sell. And if you sell a lot of them, all of a sudden you’re up thousands of products.

Victoria (09:03) Yeah.

Victoria (09:09) Yeah. Yep.

Ross (09:09) Yeah. Yeah. And you have a lot of value to offer as well, right? Like someone who’s doing two to 400 returns in their office, like they’re, they’re fairly well set, right? Like they’re, they’re, they’re fairly dialed in, those offices don’t always, they’re, they’re kind of rest on their laurels a little bit, at least from what I’ve seen, like in numbers wise, they kind of don’t grow much further from there, which, which, you know, it’s fine. They’re still producing a lot of volume, but some of the smaller people that you bring in,

Victoria (09:13) Yeah.

Victoria (09:28) Yeah.

Ross (09:36) You can bring in a lot of them and they’re hungry. They want more training like you’re talking about right there. Now it’s like with the conversation shifted software. Okay, cool. But here’s all the other stuff. Let’s talk about how you’re going to grow your business. Let’s talk about how you’re going to scale and how you’re actually going to, you know, make more money with my, with my platform. And so that’s where like you get the, the EROs who are like ready to just go and double and you know, you’re anticipating, Hey, they say they do 30, 40 returns. They end up doing 70 cause they really

Victoria (09:40) Yeah.

Victoria (09:53) Yeah.

Ross (10:04) Dialed into your training and produce more. It’s like, Hey, there we go. So there’s a lot of growth potential too, which I think a lot of people overlook. And I’ve heard this too, or some people like, if they do, I’m not even, if they do less than 50 bank products, I don’t even want to talk to them. It’s like, that’s fine. We’ll take them. Like all good. We’ll sell them a Service Bureau. I don’t even care. We just, we want the volume. We want the bank product. Remember this, the secret formula, right? One bank product equals one bank product. That’s what we want. Yeah. Cool. And so

Victoria (10:04) Thank you.

Victoria (10:11) Thank you.

Victoria (10:18) Yeah, yeah.

Victoria (10:33) Right. Yeah. Mm-hmm. Yeah.

Ross (10:33) We talked a little bit about kind of going through and hitting the reset button, kind of learn a little bit more. You talked about kind of lot of those other random things that we don’t even have. Like in our agreement, when we talk, here’s what’s included, then you get into the training platform, there’s just like so much other stuff that’s just, it just kind of goes on and on and on. It’s not gonna be ended anytime soon, but.

Victoria (10:49) Yeah.

Victoria (10:53) Yeah.

Ross (10:55) Is there anything particular in the training? Do you, that, that really stood out to you that kind of like, maybe you had those, I like those light bulb moments. Was it maybe some of the foundation stuff with the Service Bureau? Was it training in your Service Bureau, like in the software or was it like business development type stuff? Where would you say that really kind of pulled you in?

Victoria (11:14) Well, the Tax Nitro, because I didn’t have a CRM for that. So that’s helping me to stay super organized. And like when you have multiple businesses and things going on, it’s like, all right, I got this over here, this over here, this is like too much. So the CRM really helped me to be dialed in. So it’s like, okay, when I want to work on my Service Bureau. I’m just pulling up Tax Nitro. I’m going in there. I’m looking, I’m seeing like if everybody’s at the finish line, you know, where they are, what we need to do, send emails, make sure they’re good. And you know, like I’m steady adding people to that. So it’s helping me stay organized and see what I have going on. So I think for me, the Tax Nitro is like…

Ross (12:04) Just that.

Victoria (12:30) I mean, even if I didn’t get anything else, I that was worth it. I already bought it and all that cool stuff. And I was looking at one of the people in my Service Bureau and I had sent her out a software agreement yesterday. And I just kind of was looking through like the contact area and it said something like, hey, we sent you out this something and we’re waiting on you to sign it. And I was like, wow, like that’s cool.

Baldeep (12:29) Yeah.

Victoria (12:30) I didn’t do that, but thank you, whoever did that. Nice automation here. Yeah, yeah, I like that. So things like that, you know, helps me to stay more organized and, know, so.

Ross (12:30) Yeah, I didn’t even I didn’t even do that and it’s doing it for me. Yeah. That’s that’s that’s the design. Yeah.

Ross (12:47) Yeah, for sure. I remember on the, the launch review call last week there, there was that other, was it not Jonathan? What was his name? Cameron? He’s one of one of the newer, newer members as well. I think was Johnny, Johnny. That’s who it was. And he, yeah, he was just like, yo, Tax Nitro is the shit he was. He was so excited about it. And then you were in there too. So you guys were both really dialed in and it’s like, yeah, I couldn’t, I couldn’t imagine. It blows my mind sometimes when I talk to people and they don’t have a CRM. It’s like, how do you like,

Victoria (13:00) Yeah.

Victoria (13:07) Yeah, it is. It’s pretty nice.

Victoria (13:15) Yeah, I don’t even know how I was operating without it.

Ross (13:16) I don’t get it. I couldn’t I couldn’t live without one. Yeah.

Baldeep (13:20) How do you remember what you said, like in the conversations without the notes, especially as you start having more?

Victoria (13:24) I have no idea. I don’t think I did remember. We ain’t get it.

Ross (13:27) Well, well, there you go. So it’s either, it’s either that or the other thing too, though, the other thing too, right? Is that like, it’s like, well, you’re probably it’s, you don’t have a CRM cause you don’t need one yet. Cause you’re probably not having that many conversations, right? Like if you don’t have a CRM, it’s probably, you know, it’s probably because you don’t necessarily need one cause your business, you’re, you’re kind of doing it as a side thing, but it’s not really a big focus. Cause as soon as it becomes a big focus,

Baldeep (13:29) Yeah.

Victoria (13:41) Yeah.

Victoria (13:50) Yeah.

Ross (13:52) And you start running ads and you start having all those contacts coming in and you got appointments and you got, you’re sending out documents. It’s like, now you need something. You need something a hundred percent. And that’s why, that’s why we kind of built out that, that set up for you guys. So it’s like, Hey, here’s your Service Bureau operating machine. Like this thing’s going to take care of everything. And that’s how it runs. So glad, glad you’re, you’re seeing, you’re really leveraging and using the value cause it like makes your life a whole lot easier.

Victoria (13:52) Yeah.

Victoria (13:58) Yeah. Yeah. Yeah.

Victoria (14:10) Yeah. Yeah.

Victoria (14:19) Yeah, at first.

Ross (14:20) So a couple other questions I had for you on talking about support. I would love to actually, before we talk about like our support platform, I’d love to hear kind of your feedback. So we had a call last week on our 70 launch review. So as members go through one of our training sections, we invite everyone to just kind of do a review. Hey, what did you do? What did you put together? Let’s kind of talk what you’re able to execute on and what your next steps are. I would love to hear your feedback from that stuff. And like, I can’t recall if you’ve had tickets with me maybe previously about like marketing or sales or anything like that, but what’s been your feedback as far as getting some conversations together as far as like business strategy to like, grow the Service Bureau, not, not software, but like business strategy. Cause I know we had that call last week as well.

Victoria (15:05) Mm-hmm. So I’ll be honest, like some of the calls, well, a lot of the calls that you guys do, I haven’t really like honed in on those yet and I’m not really on those scheduled calls. But the call last week kind of was like, all right, you gotta start putting these on your calendar. Cause I felt like it was such a good discussion and I actually did get a lot out of that conversation. And I’m realizing that, you know, it’s just not with the training to like the calls actually.

Ross (15:19) Mm-hmm.

Victoria (15:38) Matter. So as far as like when we were talking about I think the part about just you know talking to them like during the discovery call you know certain points of the discovery call I was kind of like winging that and I didn’t know which way the conversation was gonna go but I think you provided me with a lot more things to work with in the conversation so yeah.

Ross (16:04) Yeah, no, that’s good. That’s good feedback. Actually. I liked hearing that because it is and for anyone else, if anyone’s watching this, if they are in the program, maybe watching that, it’s like there’s a lot of value in those coaching calls. I know they this year we’re kind of we we’re doing a bit of a different approach this year where we kind of go through a cadence where like every month we go through the first call is like your offer. Second call is is your marketing. Third call is sales. Fourth call is like everything after the sale onboarding fulfillment.

Victoria (16:27) Yeah.

Ross (16:32) But every single time we run those, every single time I run those, they’re unique to a certain degree, right? Like the concepts are the same, but there’s so many different ways to look at it. And so I always try to make sure they come across a bit unique. There’s some kind of variations in the training because those concepts, sometimes it takes a few repetitions to really kind of understand the foundation, the principle of why we do certain things in business. So yeah, I would highly recommend jump on the.

Victoria (16:37) Yeah.

Victoria (16:59) Again.

Ross (17:01) Jump on some of the upcoming calls. You can always go back in the recordings too. They’re always there available. So yeah, cool. So then one of my, I got a couple more questions. Let’s now talk about support in the platform, right? So reaching out, opening a ticket, getting EFINs unlocked, that kind of stuff. How has that been for you? How’s that been leveraging our support, working with our support team?

Victoria (17:03) Yeah, I will be on. Yeah, I’ll be on.

Baldeep (17:16) What do you mean? Victoria doesn’t open any tickets.

Victoria (17:19) Sometimes.

Victoria (17:27) Pretty good I think I don’t know who answered my tickets but it’s pretty quick though like I go back to my email and I’m like that was fast geez craps.

Baldeep (17:39) You know?

Ross (17:41) Before you’re ready for the answer.

Victoria (17:44) Right, yeah, it’s like I started working on something else. I’m like, I can get back to that? Thanks. So I think the support is pretty quick. It’s pretty on point with it. Yeah.

Ross (17:50) Yeah.

Ross (17:54) That’s That’s what we strive to do and we’re staffing up even more. So it’s good. Yeah, well, it’s the need, it’s the demand, right? So everyone’s growing and people are selling more and more and people are now selling Service Bureaus as well. So it’s just like, there’s just more, the support keeps scaling. So we gotta keep up with it. Keep up with the demand. You gotta keep those tickets flying back to you before you’re ready. So now one of my…

Victoria (17:59) Yeah, yeah, good for you guys.

Victoria (18:05) Yeah.

Victoria (18:12) Yeah. Mm-hmm.

Baldeep (18:19) Yeah.

Ross (18:23) My last, I’ve got like two more questions for you here. One thing is kind of looking forward. So looking into like next year. What are you, what are you the most excited about for your Service Bureau for next year? It’s an interesting question, I know, but.

Victoria (18:30) Yeah.

Victoria (18:38) Growing in general. Like I think that so I kind of have like my business is leveled. Right. I do have a VA also. That’s who I tried to bring on the last call. But you know, of course, yeah, you’re like, who’s that? I’m like, that’s my VA. I don’t know if I need her or not. But she helps when I can’t hear.

Ross (18:51) Mm-hmm. Yep. Yeah, that’s right. I was like, no, no, no, no, no.

Baldeep (18:58) I gave her the boot.

Victoria (19:06) So, you know, I have my tax business and then I have my real estate business and then I have my Service Bureau. And I think my Service Bureau is the least successful out of all of them. Not saying it’s not successful because it is, but it’s not where I want it to be. So I kind of, I really want to hone in on it and focus it. So I’m really trying to grow that to a certain point to where I can kind of, I guess, retire out of the tax offices somewhat, maybe, at a certain point, but yeah.

Ross (19:42) Yeah, that’s a very common goal. A lot of people have that, right? They’re like, let me start a Service Bureau, let me build this up so that then I can kind of step away from the tax season. It’s a crazy business. A lot of my family or friends that don’t really understand the industry, I mean, everyone understands taxes where it’s like, yeah, there’s like the filing season. It’s like, yeah, but there’s…

Victoria (19:44) Yeah.

Victoria (19:50) Yeah.

Ross (20:05) It gets crazy like shit gets crazy in January, February, right? Yeah, it’s stressful. It’s long hours and people don’t really understand that sprint. So that’s I think that’s a very common thing where a lot of EROs are just like I like the tax industry, but this tax game is like played out a little bit. I want to take some a little bit more time would be a little bit hands off during those those first two months of the year where it’s chaos. So awesome. No, it’s good. That’s good. Good to have. And I think you’re yeah, I mean,

Victoria (20:06) Yeah, it gets rough. It’s rough out there.

Victoria (20:18) Yeah.

Victoria (20:26) Yeah. Yeah.

Ross (20:33) Just keep, keep focused on the strategies. I mean, implement all that stuff and you can, you should be able to scale it very quickly. And so my, my last question for you, and then Baldeep’s got one to kind of wrap up the call here, but my last question for you is someone’s looking at joining Service Bureau Accelerator. Maybe they’re an ERO looking to get into the Service Bureau. Maybe they’re an existing Service Bureau like you were who, you know, there’s gaps there, there’s holes in their game. They don’t really know what they should be doing exactly. And they’re looking at joining our program. What kind of

Victoria (20:39) Yeah.

Ross (21:00) Feedback or suggestions would you make to someone looking at joining the program?

Victoria (21:04) Well, to not just join the program, but actually do the work. That’s important. I think a lot of people buy courses and they buy programs and they just kind of sit on them or they kind of skim them a little bit, which was last year. Like I joined late, but I did like I didn’t go full throttle with it. So like if you’re going to invest your money in something, definitely like.

Baldeep (21:10) Yeah.

Ross (21:22) Yeah.

Victoria (21:30) Get the full benefits because the information is there. You just have to really get active and execute. Yeah.

Baldeep (21:38) Yeah.

Ross (21:38) Yeah. Yeah, I love it. That’s that’s I was on a call. I think it was a coaching call last week or the week before. And that was it was kind of in the Q &A sessions and it was one of our new members. And she had asked, she’s like, what’s like, she’s like, I’m just curious. I just want to ask, like everyone who’s like here, like maybe there’s some seems like there’s some members here have been around for a while. Like, what’s the like, what’s the secret or like, what’s the, I can’t remember how it was phrased. But it was basically like, what’s the secret recipe there? And I was just like, I’ll answer that for everyone. Just follow the training, like just do the work and follow our program and do the work. That’s it. Like that’s. Yeah.

Victoria (22:08) Yeah, just do the work. Yeah. Yeah. Because there’s so much information there. It’s so much. You just kind of have to like, like Thursdays are kind of like my Service Bureau day. So like Thursdays, like I’m not doing real estate. That’s kind of what I’m doing is like devoting that time to that. So and then I got that Mighty app on my phone too. I’ll listen to some stuff in the bed, you know, when I’m not in this office down here.

Ross (22:21) Right. Yeah.

Baldeep (22:21) Yeah.

Ross (22:32) Yep, that’s perfect.

Baldeep (22:32) Okay, cool.

Baldeep (22:37) Yeah.

Ross (22:37) Yeah, yeah, no, that’s good. And I mean, especially you as an entrepreneur, right? Having other businesses, you also understand that concept where it’s like watching a video isn’t going to do shit for the business. You actually got to put in the work. And I think that’s where most people, again, like you said, if you’re going through it, like go through all the training, but implement it as well. Take action. And that’s, that’s the secret sauce.

Victoria (22:38) Yeah.

Victoria (22:49) Yeah.

Victoria (22:55) Yeah, yeah. And then sometimes like, like I like how the seven day launch was and you were like, don’t try to do it all in like one day. It’s so much information and it is easy to like forget. Like, so when you were like, why are you here? It’s like, cause I forgot some of this stuff from last year. So I’m back because if the, if the program is still open and I still got all my information, like I’m the type of person I’m going to like read over it a few times. And even like I said, my VA, like I have her going over some of the videos and stuff, cause she helps with the CRM. So like she’s a part of the business too. So like, I think that’s a big thing.

Baldeep (23:18) Yeah.

Victoria (23:41) Keep going over the videos over and over again.

Ross (23:45) Yep. Yep. I think that’s probably so we’ve had, I don’t know, 20 some odd interviews now, for like, for the elite program. And, I think that’s probably the most common thing that everyone has said about the training is just like, I keep going through it. I keep going, I keep going back through, I keep going back through. And I think that’s maybe that’s the other secret recipe for all the new people is like, go once you, once you’re done the training, guess what? Go through it again and like do the work, apply it.

Victoria (24:03) Yeah.

Victoria (24:07) Yeah.

Victoria (24:12) Yeah, I mean if you could be on platform and Instagram all day you can be on the SBA platform. Yeah, yeah you can pay for this in a way.
